Payment and Billing Policy

At Leeway Counseling Collective, we are committed to providing high-quality counseling and psychotherapy services in a timely, ethical, and professional manner.

We utilize Stripe for secure online payment processing through our electronic health record system, Sessions Health.

Accepted Payment Methods

We accept all major credit cards, including:

  • Visa

  • MasterCard

  • American Express

  • Discover

We also accept FSA/HSA card.

All payments are processed securely via Stripe through Sessions Health.

Leeway Counseling Collective provides a detailed invoice, also known as a "superbill," for you to submit to your insurance company for reimbursement. This will be available on the Client Portal under Documents for Insurance Reimbursement.

Leeway Counseling Collective partners with Headway to handle insurance credentialing and billing for eligible clients who wish to use their medical insurance. We are currently in-network with Anthem Blue Cross California, Aetna, and Quest Behavioral Health for clients residing in California.

*Please note that while we use Headway for billing, we do not use the Headway electronic health record system for documenting clinical notes.

Payment Timing

Payment is collected at the time of service, unless otherwise arranged in advance. Clients will receive a secure link via Sessions Health or Headway for payment processing, or their card may be charged automatically as per their agreement.

Service Fulfillment

As a provider of professional mental health services, fulfillment is defined as the delivery of scheduled counseling or psychotherapy sessions. Once a session has been completed, services are considered rendered in full. No physical goods are shipped or delivered.

No Shows & Late Cancellations

Our standard cancellation policy applies:

  • Cancellations must be made at least 24 hours in advance of the scheduled appointment.

  • Missed appointments or late cancellations may be charged the full session fee, as outlined in your informed consent and intake documents.

Refund Policy

Due to the nature of professional services, refunds are not issued for completed sessions. In cases of billing error or extenuating circumstances, please contact our billing team directly to discuss resolution options.

Good Faith Estimate Notice

You have the right to receive a “Good Faith Estimate” explaining how much your medical and mental health care will cost. Under the law, health care providers need to give patients who don’t have insurance or who are not using insurance an estimate of the expected charges for medical services, including psychotherapy services. You have the right to receive a Good Faith Estimate for the total expected cost of any non-emergency healthcare services, including psychotherapy services. You can ask your health care provider, and any other provider you choose, for a Good Faith Estimate before you schedule a service. If you receive a bill that is at least $400 more than your Good Faith Estimate, you can dispute the bill. Make sure to save a copy or picture of your Good Faith Estimate.
